Partner Account Reconciliation

We make estimating shipping prices simple, but the actual price can differ due to oversize charges or other adjustments.

There are edge cases in the real world that can mean you'll need to carefully reconcile your account charges and pass them on to your users. This can happen if the sender under-declares the weight or size of their parcel, if there's a refund, if the order is cancelled, or if there are other charges/adjustments.

The approach to reconciling will depend on your account and user behaviour.

CSV files contain information required for you to reconcile your invoice charges. We recommend reconciling as soon as possible after Sendle issues the invoice. This ensures that your users can see their charges and adjustments quickly, helping reduce questions and confusion.

Transaction Types

There are several types of transactions included in an invoice:

  • Order costs: calculated at creation time.
  • Sendle Extra Cover: calculated at creation time.
  • Under-declared Adjustments: when a parcel is found to be physically larger or heavier than the size declared when booking.
  • Oversize Penalty Adjustments: when a parcel is found to be larger than the maximum allowed dimensions for the service (either volume or weight).
  • Un-cancellation adjustments: when a parcel is cancelled, but the label is used on a parcel.
  • Cancellation Refunds: both same-cycle and bank refund (see below)
  • Refunds: may be issued due to delay, loss, or other reasons.

Loss or Damage Claims are not included in the report, except for any refunds that might be processed. This is because the result of these claims are typically paid out-of-band (often directly to the Sender) as required by each cover policy.

Allocating Charges to Your Users

The most reliable way to allocate charges to your users is using the Sendle Reference. This is returned by the API on order creation, and is a unique way to identify all charges for that order.

Although we include the Sender Email in the report, we do not recommend using it for allocating charges to your account. For example, your user may change their email during a billing period.
